In this role you will wear many hats, but your knowledge will be essential in the following:  

  • Managing various operational processes, including all building maintenance (urgent and preventative), tenant/landlord communications, renovations or expansions, and monitoring our cleaning contractor.
  • Screening incoming calls/inquiries and accept deliveries as they come in.
  • Keeping the office stocked and order necessary supplies keeping well-organized and optimized for our teams.
  • Working with food vendors to ensure deliveries, changes in orders, monitoring quality.
  • Ensuring invoices and payments are managed following the processes with the Finance team
  • Partner with HR Team members as needed; You may coordinate with HR to support with a variety of needs including drafting emails and documents for new hires, collecting and analyzing information, initiating communications for various company updates, and more.
  • Welcome visiting guests acting as the first point of contact for our Sarajevo location and assisting them as needed.
  • Coordination/set up of meetings if needed.
  • With extended Employee Experience team(US, Euriope and Bosnia); assist in planning company events, planning and execution of internal events (logistics, collateral, and communications), catering of (if needed), etc., and other global offices to ensure consistent employee-experience across offices.
  • Receiving incoming mail, sorting and distribution to proper locations; signing for packages as needed and helping arrange outgoing as necessary.
  • Partner with general manager in Tuzla to manage operations; interact with contractors and vendors as needed.
  • Assist with special projects as requested.

  • Bachelor's degree, or equivalent combination of education and experience in related role.
  • 2-3 years of experience in an office manager/office administration role; facilities manager office manager experience preferred.
  • Ability to respect, maintain and protect confidential information.
  • Knowledge of a variety of software applications and capacity to learn new.
  • General knowledge of carrier tracking systems.
