Office Manager (m/f)

WYG savjetovanje d.o.o. Zagreb is seeking an enthusiastic and future-driven Office Manager to take responsibility for efficient administrative and financial managament of our project office in Sarajevo as well as compliance with (organizational and) EU project implementation standards.

Country: Sarajevo (main base Sarajevo but with occasional travel around and outside of Bosnia and Herzegovina)
Position: Office Manager
Duration: Contract starting from 15.08.2024 and continuing until 01.09.2026. (subject to a one-month probationary period)

Responsibilities

As Office/Finance Manager, you will be primarily responsible for the overall management of the project office(s), including:

  • Managing the project’s financial accounts, cash books (expense reports), incomes, expenditures, and reimbursement processes, and keeping them up to date.
  • Maintaining detailed, transparent, and full records of all financial transactions (invoices, currency exchanges, etc.).
  • Liaising with WYG office in Croatia to ensure financial compliance with all procedures in relation to reporting, administration, and duty of care.
  • Supporting international and national consultants regarding their contracts, administrative or logistical difficulties, and maintaining timesheets.
  • Procuring office equipment (hardware and software) within agreed budgets and ensuring its proper maintenance and upgrading as appropriate.
  • Procurement of office consumables and other necessities for daily office functioning.
  • Coordinating and organizing project activities such as meetings, conferences, workshops, trainings, study visits, and similar.
  • Liaising with suppliers and service providers.
  • Developing and maintaining an effective document record-keeping system (electronic and hard copy) for timesheets, participant lists, reports, contacts, general information papers, etc.
  • Assisting in the preparation of regular project reports, compiling relevant data and information for reporting purposes, ensuring compliance with reporting requirements, and ensuring all reports are properly prepared, copied, and distributed on time in English and local languages.
  • Liaising as required with the main contractor (WYG Consulting Ltd), sub-contractors, EU Delegation, project beneficiaries, donors, and other agencies, fully representing the project professionally at all times.
  • Carrying out any other tasks necessary to ensure effective service delivery as a project office/financial manager.

Reporting: The Office Manager will report directly to the Team Leader and Project Director and work closely with other key project experts and the Project Financial Coordinator.

Requirements

Qualifications:

A degree in Social Science, Finance, Accounting, Business Administration, or a related field would be advantage.

Experience:

  • At least three years of experience in financial management and office administration in a project-based environment.
  • Demonstrated experience in managing financial accounts, cash books, expenses, and reimbursement processes.
  • Experience in procuring goods and services, and coordinating project activities such as conferences, and trainings.

Skills and Competencies:

  • Experience in using MS Office and xls for managing accounts.
  • Excellent organizational skills with the ability to develop and maintain effective document record-keeping systems.
  • Ability to compile and prepare regular admin-project reports, ensuring compliance with reporting requirements and timely distribution.
  • Ability to multitask and manage multiple priorities in a fast-paced environment.

Language Requirements:

  • Proficiency in English, both written and spoken.
  • Knowledge of local languages is a must.

Additional Requirements:

  • Ability to travel as required to fulfil the duties of the role.
  • B driving licence would be advanage.
  • Familiarity with EU project impelmentation procedures is a strong advantage.
